System Proposal Report

Version 1.0

February 7, 2007

1.  System Scope

            1.1   System Title

St. Norbert College Alumni Tracking System (SNC-ATS) 1.0

            1.2  Mission Statement

            1.3  Problem Statement and Purpose

St. Norbert College has been having difficulty keeping in contact with its alumni.  Students and faculty at the college would like to be able to gather information from past students long after they graduate.  This would be helpful for students to plan beyond college and for faculty to more wisely advise and teach in certain directions.  It would also help former students to keep in contact, to keep up old relationships and communicate their outlook on life outside of the college.

Currently, St. Norbert College has no such system available.  It is important to build such a system so that:

1)  Alumni may create user profiles and access the system from the internet to create, edit, or delete their respective data.

2)      Administrators may edit data or delete outdated data.

3)      Administrators may create reports on the data.

4)      The general public may view most data on the alumni.

5)      The general public may run searches on the data.

1.4    System Constraints

The SNC-ATS will have the following constraints:

1)      Windows-based operating system.

2)      Database must utilize Microsoft Access 2003.

3)      The system must be created in a 3-month timeframe.

4)      The system should be designed to be able to handle information from any other fields of study at St. Norbert College.

5)      The administrators must be able to maintain the system and respect security issues regarding the system’s data.

6)      Data will need to be manually entered into the database by numerous users.  There will be some uncontrolled text fields.

7)      Updates that must be made are in the hands of the user.

8)      Restrictions will apply to alumni (from “touching” each other’s data) and general users (from “touching” any of the data).

1.5    Objectives

The SNC-ATS will meet the following objectives:

1)      Alumni will be able to enter general personal and career information easily online.

2)      Current SNC students and faculty will be able to access this information with ease.  This also includes searching through the data to find specific information.

3)      The system administrator(s) will be able to print off reports on the data.
